About You The Event Coordinator is an exciting new position within our Corporate Marketing department. Working closely with our internal teams and reporting to our Event Manager, this individual is vital to the success of a variety of internal and external events. These include semi-annual employee conferences, business-development cocktail mixers for our investment group, webinars and conferences for existing and prospective investors, property grand openings and groundbreaking celebrations, and others. The ideal candidate is reliable, highly organized, detailed, and flexible with a knack for anticipating participants' needs to execute incredible events for our employees and business partners.
Responsibilities include, but are not limited to :
- Attend events to ensure all day-of logistics are handled successfully (e.g., transporting items to venue, setup, teardown, taking photos, troubleshooting, etc.).
- Research venues and vendors for future events.
- Assist with ensuring on-budget and on-time execution of event details.
- Track updates and monitor deadlines via Monday.com project-management system.
- Order and quality-check all materials required for events.
- Maintain our inventory of event supplies (e.g., dcor, signage, microphones, etc.).
- Proactively communicate with internal partners regarding deadlines, expectations, timing, directions, etc.
- Provide planning, organizational and day-to-day support to Event Manager as requested.
- Provide special project assistance to the Equity Marketing and Corporate Marketing department as requested.
Requirements
- Bachelor's degree in event planning, hospitality, project management, communications, or marketing preferred.
- 1-2 years' experience in event support, project management, and/or executive assistant role.
- Experience with Monday.com or similar project management system preferred.
- Meticulous attention to detail.
- Exceptional written and verbal communication skills.
- May require up to 30% travel - across the Twin Cities metro and in select locations nationwide - to support events.
- Reliable transportation required.
- Evening availability to attend events is required, generally two to six times per month.
